Best cloud accounting software for small business: QuickBooks vs FreshBooks vs Xero vs Zoho Books

Quick answer
If you want real double-entry accounting for as little as possible, start with Zoho Books. It's free while your revenue stays under $50K, and Standard is $15 a month billed annually after that[3].
If your accountant already lives in QuickBooks Online, that's probably where you'll end up. Simple Start lists at $38 a month. There's a free plan now too, but it sends only 2 invoices a month unless you use QuickBooks Payments[1]. Want unlimited users on a small budget? Xero Early is $27 a month, capped at 20 invoices and 5 bills a month[2]. And if your business is mostly sending invoices to clients, FreshBooks starts at $23 a month at list price, limited by billable clients[4].
Whatever you pick, budget at list price. QuickBooks, Xero and FreshBooks all showed an introductory discount when we checked, and each reverts to the regular monthly price after 3 or 4 months. All figures checked Oct 2026.
This is a researched price guide, not a hands-on review. We haven't run these products in a business. Prices come from each vendor's official US pricing page, linked and dated. CostOak earns no commission on any link on this page. This is general information, not accounting or tax advice.
QuickBooks vs FreshBooks vs Xero vs Zoho Books
Cloud accounting software keeps your books online: bank feeds, categorised expenses, invoices, sales tax and the reports your accountant asks for every tax season. All four products here run in a browser, have mobile apps and publish US prices. So what actually changes your bill? Not features, mostly. It's user limits, invoice or client caps, and how long the promotional price lasts.

What a small business pays in year one
Here's the subscription cost for one business in year one, with each vendor's promotion applied where one was shown, next to the list price you'll pay from year two[1][2][3][4]:
| Option | Typical one-time | Yearly running cost | Best for | Source & date |
|---|---|---|---|---|
| Zoho Books Free | None | $0 (revenue under $50K) | Solo, early-stage | zoho.com/us/books/pricing, checked Oct 2026 |
| Zoho Books Standard, annual | None | $180 ($240 if monthly) | Up to 3 users | zoho.com/us/books/pricing, checked Oct 2026 |
| FreshBooks Lite | None | $202.40 year one with promo; $276 at list | Up to 5 clients | freshbooks.com/pricing, checked Oct 2026 |
| Xero Early | None | $259.20 year one with promo; $324 at list | Low invoice volume | xero.com/us/pricing-plans, checked Oct 2026 |
| QuickBooks Simple Start | None | $399 year one with promo; $456 at list | 1 user + accountant | quickbooks.intuit.com/pricing, checked Oct 2026 |
| Zoho Books Professional, annual | None | $480 ($600 if monthly) | 5 users, inventory, projects | zoho.com/us/books/pricing, checked Oct 2026 |
| FreshBooks Plus | None | $516 at list | Up to 50 clients | freshbooks.com/pricing, checked Oct 2026 |
| Xero Growing | None | $708 at list | Unlimited invoices and bills | xero.com/us/pricing-plans, checked Oct 2026 |
| QuickBooks Essentials | None | $1,020 at list | 3 users | quickbooks.intuit.com/pricing, checked Oct 2026 |

Notice how little the promos actually save. QuickBooks Simple Start showed $19 a month for 3 months, then $38 (3 × $19 + 9 × $38 = $399). That's $57 off a $456 year. Xero Early showed $5.40 a month for 3 months, then $27 ($259.20). FreshBooks Lite showed $4.60 a month for 4 months, then $23 ($202.40). Zoho Books showed no promotion, only an annual-billing discount. Nice for month one, but year two is the price you'll actually live with. Pricing, tool by tool
QuickBooks Online: the default, at a premium
QuickBooks lists four paid plans: Simple Start $38 a month (1 user), Essentials $85 (3 users), Plus $140 (5 users) and Advanced $340 (25 users). When we rechecked the US pricing page on 17 Oct 2026, all four were labelled "50% off for 3 months": Simple Start $19, Essentials $42.50, Plus $70 and Advanced $170 a month for the first 3 months, then list price[1]. Paid plans include access for 2 accountants (3 on Advanced).
There's also a Free plan for 1 user. It tracks income and expenses, connects 1 bank and runs a profit and loss report. The catch: it sends only 2 invoices a month unless you qualify for and enable QuickBooks Payments, and it has no accountant access or third-party integrations[1]. Bill pay includes free ACH up to a monthly allotment, then $0.50 per standard ACH transaction[1].
Watch out for: adding a second user. That pushes you from Simple Start to Essentials, $38 to $85 a month at list, or an extra $564 a year for one more login.

Xero: unlimited users, capped volume on Early
Xero's US plans are Early at $27 a month, Growing at $59 and Established at $97. New US customers were offered 80% off for the first 3 months[2]. Early limits you to sending 20 invoices and entering 5 bills a month. Growing and Established remove those caps and add auto-reconciliation and longer cash-flow forecasts.
Xero bills monthly only (its FAQ describes invoicing at the end of each monthly period). Add-ons include auto-reconcile on Early at $5 a month and Xero Payroll, powered by Gusto, at $36 a month plus $6 per employee or contractor[2].
Watch out for: the 20-invoice cap. If you send 25 invoices a month, you're really a $59-a-month Xero customer, which is $708 a year instead of $324.

Zoho Books: the cheapest route to real accounting
Zoho Books prices per organisation: Free, Standard $15 a month billed annually ($20 monthly, 3 users), Professional $40 ($50, 5 users), Premium $60 ($70, 10 users), Elite $120 ($150) and Ultimate $240 ($275)[3]. The Free plan stays free as long as revenue stays under $50K for the financial year, and allows 1 user plus 1 accountant and up to 1,000 invoices a year[3]. Extra users cost $2.50 a month billed annually ($3 monthly), and there's a 14-day free trial of paid plans.
For a solo business under $50K, that's hard to beat on price. Watch out for: crossing $50K in revenue, which moves you onto a paid plan. On Standard billed annually, that's $180 a year. It's a nice problem to have, but it's still a cost.

FreshBooks: priced by clients, not users
FreshBooks lists Lite at $23 a month, Plus at $43 and Premium at $70, with 5, 50 and unlimited billable clients respectively. A Select plan has custom pricing[4]. The page showed 80% off for 4 months. Client limits count active and archived clients[4], so the old client you billed once last spring still uses a slot.
Add-ons: Team Members cost $11 a month per person, Advanced Payments $20 a month, and payroll $40 a month plus $6 per person. Card payments through FreshBooks Payments cost 2.9% + $0.30, and bank transfers 1%[4].
Watch out for: accountant access and double-entry reports start on Plus, not Lite[4]. If your accountant needs to log in, budget for $43 a month, not $23.

What users say
We read public review pages rather than collecting our own. On Trustpilot's page for Intuit QuickBooks (the UK listing, about 16,900 reviews), the score was 3.7 out of 5 when we checked. Trustpilot's own AI summary of recent reviews says reviewers praise onboarding staff and phone help. The complaints focus on interface changes, glitches, bank feeds that are slow to refresh, and unresolved support cases[5]. The same page listed related companies with their scores: Intuit (quickbooks.com) 4.1, FreshBooks 4.6 and Zoho 3.7[5].
A caveat: review scores reflect whoever chooses to post. Treat them as a read on support quality, not a ranking. QuickBooks' own pricing page cites 4.3/5 from 6,700+ Capterra reviews[1]. We haven't verified that figure on Capterra.
How to choose without overpaying
Ask your accountant first. Seriously. If they work in QuickBooks or Xero, using the same tool usually saves billable hours, and you pay for those hours. QuickBooks' paid plans include access for 2 accountants and Zoho Books Free includes 1. On FreshBooks, accountant access starts on Plus.
Then count your users, invoices and clients. These caps, more than features, decide which plan you really need: QuickBooks limits users, Xero Early limits invoices and bills, FreshBooks limits clients, and Zoho Books limits users and revenue.
Price year two by multiplying the list price by 12. A 3- or 4-month promotion barely moves the annual cost. And don't forget payments and payroll. Card fees of about 2.9% plus a fixed fee, plus payroll add-ons of $36–$40 a month and about $6 per person, can easily cost more than the software itself.
Last, look at the rest of your stack. See our CRM price guide and more software comparisons, and see how accounting costs fit with taxes in the business finance hub. Two related cost guides: what a small business pays for software each month and tax preparation service costs.
