Best Business Email for Small Business: What Google, Microsoft, Zoho and Your Host Really Cost

Quick Answer
For most small businesses, Google Workspace Business Starter is the one to get. It's $7 per user a month on an annual plan ($84 a year) or $8.40 on a month-to-month plan, with 30 GB of pooled storage per person and Gmail on your own domain[1][2]. If your team lives in Word and Excel, Microsoft 365 Business Basic costs exactly the same and gives you far more room: a 100 GB mailbox and 1 TB of OneDrive per user[4][5].
If you only need email and every dollar counts, Zoho Mail Lite is $1 per user a month, billed annually[6]. A 10-person team pays $120 a year instead of $840. And if you already pay for Namecheap Stellar (paid link) hosting, you have 30 mailboxes included at no extra cost[8].
This is a researched price guide, not a hands-on review. Every price comes from the provider's own US pricing page, checked on October 26, 2026, and each one is linked. Links marked (paid link) go to Namecheap and GreenGeeks, which pay CostOak a commission. Google, Microsoft and Zoho are not affiliates: those links are plain, and we earn nothing from them.
Why a Custom Domain Matters More Than the Inbox
Picture two quotes landing in a customer's inbox for the same $4,000 kitchen job. One comes from [email protected]. The other comes from [email protected]. Nobody can prove the second plumber is better, but most people will trust that one more, and that's the whole argument for paying for email.
There's a practical side too. When an employee leaves, a mailbox on your domain stays with the business. And because the address belongs to your domain, you can switch providers later without telling every customer a new address.
A free Gmail account still has its place. It gives you 15 GB of storage, shared across Gmail, Drive and Photos[11], and for a side project or the first few weeks of a business that's fine. Once you're sending invoices and quotes, it's worth a few dollars a month to look established.
The Price Per User, Side by Side
Business email is priced per mailbox, and the price depends on whether you commit to a year. Google and Microsoft both charge 20% more for month-to-month ($8.40 instead of $7). Zoho Mail Lite and Namecheap Private Email are only sold yearly.

One catch on Google's annual plan: you pay for the licenses you committed to for the whole year. You can add people any time, but you can only reduce the count at renewal[2]. If your headcount goes up and down with the seasons, the Flexible plan's extra $1.40 a user buys you that freedom.

Worked Example: A 1-Person Business
Say you're a freelance bookkeeper and you just want [email protected]. Here's what a year and three years cost.
| Option | Year one | 3-year total | What you get |
|---|---|---|---|
| Gmail.com (free) | $0 | $0 | 15 GB shared with Drive and Photos, no custom domain |
| Zoho Mail Lite | $12 | $36 | 1 mailbox, 5 GB, calendar |
| Namecheap Private Email Launch | $14.88 | $44.64 | 1 mailbox, 5 GB, webmail and calendar |
| Namecheap Stellar hosting | $27.36 | $139.12 | Website hosting plus 30 mailboxes |
| GreenGeeks Lite hosting | $35.40 | $370.20 | 1 website plus email accounts |
| Google Workspace Business Starter | $84 | $252 | 30 GB, Gmail, Calendar, Meet, Docs |
| Microsoft 365 Business Basic | $84 | $252 | 100 GB mailbox, 1 TB OneDrive, Teams, web Office |
The gap is bigger than it looks. Over three years, Google or Microsoft costs $252, while Zoho Mail Lite costs $36. If all you do is send and receive email, Zoho's 5 GB mailbox will last a long time. If you also want shared docs, video calls and shared calendars, the $7 plans earn their price.
The hosting rows deserve a note. Namecheap Stellar (paid link) is $2.28 a month billed yearly ($27.36 for the first year), then renews at its regular 1-year price of $55.88[8]. That buys your website and your mailboxes. GreenGeeks Lite (paid link) is $2.95 a month prepaid for 12 months, then renews at $13.95 a month[9]. Fine if you want the hosting anyway; expensive if email is the only reason.
Worked Example: A 3-Person Business
Now a three-person landscaping company: the owner, an office manager and a crew lead who mostly reads email on a phone.
| Option | Per year | 3-year total | Notes |
|---|---|---|---|
| Zoho Forever Free | $0 | $0 | Up to 5 users, web and app only, select data centers |
| Namecheap Private Email Launch + 2 mailboxes | $32.64 | $97.92 | 5 GB each |
| Zoho Mail Lite | $36 | $108 | 5 GB each, billed annually |
| Namecheap Stellar hosting | $27.36, then $55.88 | $139.12 | Mailboxes share 20 GB with the site |
| GreenGeeks Lite hosting | $35.40, then $167.40 | $370.20 | Account count not stated |
| Google Workspace Business Starter | $252 | $756 | $302.40 a year on monthly billing |
| Microsoft 365 Business Basic | $252 | $756 | $302.40 a year on monthly billing |
At this size, Namecheap's Private Email gets interesting. Its Launch plan is $14.88 a year for one mailbox, and each extra mailbox adds $0.74 a month. Three mailboxes come to $32.64 a year[7]. That's slightly cheaper than Zoho Mail Lite ($36) and you get webmail, a calendar and a 30-day free trial. If you want more space, the Expand plan is $41.88 a year for three mailboxes with 30 GB between them.

Zoho's Forever Free plan looks perfect for a team of three: one domain, up to five users and 5 GB each. But read the small print on Zoho's page. IMAP, POP and ActiveSync aren't included, so you're limited to Zoho's own web and mobile apps, and the plan is "available only in select data centers"[6]. We couldn't confirm it's offered to new US sign-ups, so treat it as a maybe, not a plan.
Worked Example: A 10-Person Business
Ten people is where the per-user pricing really adds up. A dental office with ten staff on Google Workspace Business Starter pays $840 a year on an annual plan, or $1,008 on monthly billing. Over three years that's $2,520 or $3,024. Microsoft 365 Business Basic lands on exactly the same numbers.

Zoho Mail Lite for the same ten people is $120 a year and $360 over three years. Namecheap's Launch plan with nine extra mailboxes is $94.80 a year (5 GB each, 50 GB total), or $284.40 over three years[7]. Even Zoho Workplace Standard, which adds online office apps, chat, video meetings and 30 GB of mail per user, is $3 a user billed annually: $1,080 over three years, less than half the Google bill.
So why would a 10-person office pay $2,520? Because at ten people, email is rarely just email: you want shared calendars, shared drives and one place to lock an account when someone leaves. For a team already living in Gmail and Docs, switching to Zoho to save about $720 a year can cost more in lost time. For a team that only emails, it's real money.

What Each Plan Actually Includes
Google Workspace Business Starter gives each user 30 GB of pooled storage, Gmail on your domain, shared calendars, Meet calls with up to 100 participants, Docs, Sheets and Slides, and Gemini in Gmail[1]. Appointment booking pages, meeting recordings and the Workspace Migrate tool start at Business Standard, which is $14 a user on annual billing. Standard support is included, and Google sells an upgrade to Enhanced Support.
Microsoft 365 Business Basic includes Outlook, Teams, the web and mobile versions of Word, Excel and PowerPoint, Bookings, Planner and Forms, plus a 100 GB mailbox with a 50 GB archive and 1 TB of OneDrive per user[4][5]. There are no desktop Office apps on this plan. Microsoft lists around-the-clock support for billing, account access and general technical questions.
Zoho Mail Lite is email, calendar and to-do lists with 5 GB per user. A 10 GB version is $1.25 a user, billed annually. Zoho lists migration assistance on every paid plan and 24x7 support[6].
Namecheap Private Email is a mail-only service: webmail, calendar, CalDAV and CardDAV, IMAP, SMTP and POP3, spam filtering and two-factor login[7]. There's no office suite.
Hosting mailboxes (Namecheap Stellar, GreenGeeks) are the cPanel email accounts that come with a web hosting plan. They work with any mail app, but they share disk space with your website: Stellar's 30 mailboxes share its 20 GB, and GreenGeeks Lite has 25 GB of web space for the site and mail together[8][9]. GreenGeeks' plan page lists "email accounts on your domain" without a number, so we can't tell you how many you get.
Hidden Costs: Domains, Storage and Price Rises
The domain. Every custom-domain option needs one. At Namecheap, a .com is $11.28 for the first year on sale and renews at $18.48 a year[10], so budget about $48 for three years. GreenGeeks includes a free domain for the first year only[9].
Price rises. They happen. In January 2025, Google folded its Gemini AI into Workspace and raised Business Standard from $12 to $14 a user, a $2 increase in Google's own words[3]. Microsoft's business pricing page currently refers to "packaging and pricing updates" for its Microsoft 365 suites from July 1, 2026[5]. Google says it gives at least 30 days' notice of an increase[2]. Either way, the $7 you pay today isn't guaranteed for three years.
Intro offers and renewals. Google is currently advertising 50% off the first three months for new customers, which works out to $10.50 off per user on the annual Starter plan. Namecheap's MAILDEAL code takes 20% off the first year of Launch. Our totals use regular prices. Hosting is the extreme case: GreenGeeks Lite goes from $35.40 in year one to $167.40 a year after. Our shared hosting renewal tracker covers this in detail.
Storage and add-ons. When a mailbox fills up, you upgrade or buy more. Zoho lists a mail storage add-on, and Google bills Workspace Additional Storage as a separate subscription[6][2].
Leaving. Cancel a Google annual plan early and you're charged for the rest of the commitment[2]. Cancel Microsoft 365 and Microsoft says the associated data is deleted, so export it first[5]. Moving mail costs time more than money, so plan the switch for a quiet week and keep the old service running until everything has copied across.
Which One Should You Pick?
Pick Google Workspace Business Starter if your team already uses Gmail, Google Docs or Google Calendar, or you want one tool for email, files and video calls. It's the best all-round choice for most small businesses, and the one we'd set up for a new five-person company. See Google Workspace pricing.
Pick Microsoft 365 Business Basic if you swap Word and Excel files with clients or want Teams. Same $7 price, more storage. If you need the desktop Office apps, look at Business Standard instead. See Microsoft 365 Business Basic.
Pick Zoho Mail Lite if email is all you need and you're watching costs. At $1 a user it's the cheapest serious mail service on this list, with no monthly option. See Zoho Mail pricing.
Pick Namecheap Private Email (paid link) if you're one to three people and want a cheap, simple mailbox from the company that may already hold your domain. Launch is $14.88 a year.
Use your hosting mailboxes if you already pay for Namecheap Stellar (paid link) or GreenGeeks (paid link) and only need a few addresses. It costs nothing extra. We wouldn't buy hosting just for email, though. If you're still choosing a host, see our best web hosting for small business comparison.

Frequently asked questions
What is the best business email for a small business?
For most small businesses, Google Workspace Business Starter: $7 per user a month on an annual plan or $8.40 month-to-month, with 30 GB per user, Gmail on your domain, Calendar, Meet and Docs. Microsoft 365 Business Basic is the same price with more storage. Zoho Mail Lite at $1 per user is the budget pick. Prices checked Oct 26, 2026.
How much does business email cost per year?
Per user, from $12 a year (Zoho Mail Lite, billed annually) to $84 a year (Google Workspace Business Starter or Microsoft 365 Business Basic on annual plans), or $100.80 on monthly billing. Namecheap Private Email Launch is $14.88 a year for one mailbox. Add about $18.48 a year for a .com domain at Namecheap's renewal price (checked Oct 26, 2026).
Can I get business email for free?
Free Gmail gives you 15 GB but no custom domain. Zoho lists a Forever Free plan for one domain and up to five users with 5 GB each, but without IMAP, POP or ActiveSync, and only in select data centers. Mailboxes that come with web hosting, such as Namecheap Stellar's 30, cost nothing extra if you already pay for the hosting.
Is email from my web host good enough?
For a few addresses, usually yes. Hosting mailboxes work in any mail app, but they share disk space with your website and don't include shared calendars, file storage or video calls. We'd use them if you already have the hosting, and wouldn't buy hosting just for email.
Should I pay annually or monthly for Google Workspace or Microsoft 365?
Annual is $7 a user against $8.40 monthly, which saves $16.80 per user a year. The catch: on Google's annual plan you can only reduce licenses at renewal, and cancelling early charges the rest of the commitment. If your headcount changes often, pay monthly.
